What Is Inventory? Meaning, Definition and Simple Examples

Inventory is all the goods a business keeps to sell, or to use in making things it will sell. The rice bags in a mudi dokan, the fabric rolls in a garments factory, and the medicine boxes in a pharmacy are all inventory.

You may hear it called "stock" or "maal" in your shop. The idea is the same. In Bangla, inventory is often called মজুদ পণ্য (mojud ponno), which simply means goods kept in store.

This guide explains what inventory means in plain words. You'll see examples from businesses like yours, and learn why tracking it well can save you real money.

What does inventory mean?

Inventory is anything your business owns that you plan to sell, or that will become part of something you sell. If it sits on a shelf, in a godown, or in a delivery van waiting for a customer, it's inventory.

Here's a simple test. Ask yourself: "Will this item, or something made from it, be sold to a customer?" If the answer is yes, it's inventory.

The inventory definition in business

In business and accounting, inventory has a more formal definition. It is the goods and materials a business holds for three purposes:

  1. To sell in the normal course of business, like phones in a mobile shop.
  2. To finish making, like half-stitched shirts on a factory floor.
  3. To use up in production, like thread, buttons and fabric.

What is not inventory?

Some things in your business are not inventory, even if they are valuable. These are items you use to run the business, not items you sell.

  1. The shelves, freezer and counter in your shop
  2. Your computer, POS machine and barcode scanner
  3. Your delivery motorbike or van
  4. Office supplies like pens and printer paper

These are called fixed assets or supplies. A freezer is inventory only for a shop that sells freezers. The same item can be inventory for one business and equipment for another.

What does inventory look like in a real business?

Inventory looks different in every business. The table below shows what it means for six common types of business in Bangladesh.

BusinessWhat their inventory includes
Mudi dokan (grocery shop)Rice, dal, oil, sugar, soap, biscuits, soft drinks
PharmacyMedicine boxes, syrups, saline, baby food, face masks
Garments factoryFabric rolls, thread, buttons, half-made shirts, packed cartons ready to ship
Mobile and electronics shopPhones, chargers, earphones, covers, power banks
Online clothing page (F-commerce)Sarees, three-pieces, panjabis, packaging bags
Wholesale distributorCartons of goods stored in the godown before going to retailers

A quick example

Let's say Rahim runs a small grocery shop in Bogura. On Sunday morning, he has 50 bags of rice, 30 bottles of soybean oil, and 100 packets of biscuits.

All of that is his inventory. When he sells 10 bags of rice, his inventory goes down. When his supplier delivers 20 more bags, it goes up again.

Inventory is never fixed. It changes every time you buy or sell. That's why counting it once a year is rarely enough.

Is inventory the same as stock?

Mostly, yes. In everyday Bangladeshi business talk, people use "inventory" and "stock" to mean the same thing. If your accountant says "inventory" and your shop manager says "stock," they're usually talking about the same goods.

There is one small difference in formal use:

  1. Stock usually means finished goods ready to sell to customers.
  2. Inventory is wider. It includes finished goods, plus raw materials and items still being made.

So a retail shop's stock and inventory are almost the same. A factory's inventory is much bigger than just its finished stock.

One more thing to watch for: "stock" can also mean company shares on the Dhaka Stock Exchange. That has nothing to do with the goods in your shop.

What are the main types of inventory?

There are four main types of inventory. Most small shops only hold one or two. Factories often hold all four.

  1. Raw materials: things you buy to make your product. For a bakery, that's flour, sugar and eggs.
  2. Work-in-progress (WIP): products that are half-made. For a furniture maker, that's a sofa frame without its cushions.
  3. Finished goods: products ready to sell. For a shoe factory, that's boxed pairs of shoes.
  4. MRO supplies: maintenance, repair and operating items, like machine oil and spare parts.

Each type needs a slightly different kind of tracking. We cover each one in detail, with more examples, in our guide to the types of inventory.

Why does inventory matter so much?

For most shops and traders, inventory is the biggest place their money sits. Every taka spent on goods is a taka that isn't in your cash box until those goods are sold.

That's why getting inventory right matters. Here's what happens when it goes wrong.

Too much inventory ties up your cash

Say you stock ৳5,00,000 worth of winter jackets in October. If only half sell by February, ৳2,50,000 is stuck on your shelf. That's money you can't use for rent, salaries or Eid stock.

Extra stock also costs money to keep. You need godown space, and goods can get damaged, go out of fashion, or expire.

Too little inventory loses you sales

Now picture a customer asking for a popular phone charger, and you've run out. They won't wait. They'll walk to the next shop, and they may not come back.

Running out of stock is called a stockout. During busy seasons like Eid or Puja, stockouts can cost you more than any other mistake.

Untracked inventory hides losses

If you don't know exactly what you have, you can't spot problems. Theft, damage, wrong deliveries and counting mistakes all go unnoticed.

Over a year, these small gaps add up. Many shop owners only discover the loss when they finally do a full count.

How do you keep track of inventory?

There are three common ways businesses in Bangladesh track inventory. Most start with the first and move up as they grow.

MethodWorks well forMain problem
Khata (paper register)A very small shop with few productsEasy to make mistakes, hard to total, can be lost or damaged
Excel or Google SheetsA growing shop with one locationMust update by hand after every sale, gets messy with many products
Inventory softwareShops with many products, staff or branchesTakes a little setup time at the start

The right choice depends on your size. If you sell from one counter and stock 50 items, a khata may be fine. If you have a godown, a shop and an online page, it gets hard fast.

That's where inventory software helps. With PicoStore, every sale at your POS updates your stock automatically. You can see stock in each warehouse, get low-stock alerts, and link it all to your accounts.
